Turn event dates into a clear kit brief.

A temporary radio requirement starts with dates, simultaneous users, working areas and the calls the team needs to make. A booking for another event can help frame questions, but its quantity and accessories should not be copied without review.

02 / Scope the booking

Count the people and the complete kit.

  • Count users who need sets at the same time and discuss an appropriate spare quantity.
  • Confirm the worksite and areas where calls must work, including setup and return activities.
  • List radios, batteries, antennas, clips and charging equipment; specify audio accessories separately.
  • Write down collection and return dates and times, and confirm the applicable charging period.
  • Agree equipment identification and a collection/return checklist.
  • Confirm the contact route for an equipment or accessory problem during the agreed booking.

03 / A relevant customer record

Review each booking on its own terms.

The Milestone Production story describes three rental bookings with different quantities and kit wording. The invoices do not identify a venue or a coverage test. They therefore cannot prove that a particular set quantity will cover a different event site.

The story also explains a discrepancy between one stated rental duration and its written date range. For a new hire, confirm the dates and charging period explicitly instead of carrying an ambiguous duration into the booking.

04 / Collection checks

Try the agreed calls before handover.

Count sets and accessories against the written list and confirm the intended user configuration. If the location introduces coverage uncertainty, describe the operating areas and agree the necessary site checks.

How many radios should an event rent?

There is no single quantity for every event. Start with simultaneous users, call groups, the operating areas and the agreed spare requirement.
